How we use your information
What we collect when you get in touch or stay with us, why we need it, who sees it and how long we keep it.

Who we are
Renovest Properties Ltd is a company registered in England and Wales, company number 16195880. We decide how your information is used, which makes us the data controller. We are registered with the Information Commissioner's Office.
For anything about your information, email service@renovestproperties.co.uk.
What we collect
- When you send an enquiry. Your name and email address, your phone number and company or agency if you give them, and what you tell us about the stay: the area, dates, number of guests, bedrooms, parking, pets and anything the guest needs.
- When you use the chat. The messages you type. If you tap the WhatsApp button, your message opens in WhatsApp for you to send. On our live website we also keep a copy of that message, so that both of the people who run Renovest can see it. Once you send it, WhatsApp shows us your WhatsApp name and number.
- When you book or stay. The names of the guests, contact details, the booking dates, payment and invoice records, and any messages about the stay.
- When you are a landlord. Your contact details and the details of your property.
An enquiry sometimes includes health or access needs, such as a ground-floor bedroom or a wet room. Please share only what we need to find a suitable home. We use it for that and nothing else.
We do not track how you browse this website. There is no analytics and no advertising on it. The company that hosts the website keeps standard server logs, which include IP addresses, to keep the site secure.
Why we use it
- To answer your enquiry and send a quote. You have asked us to do this before making a booking, and it is in our legitimate interests to reply.
- To arrange and manage a stay. Confirming the booking, taking payment, sending check-in instructions and dealing with any problems. We need the information to carry out our contract with you or with the agency that booked.
- To keep the records the law requires. Accounts and tax records are a legal obligation.
- To protect our homes, guests and business. For example, dealing with damage or misuse. This is in our legitimate interests.
We do not sell your information, and we do not add you to a mailing list.
Who we share it with
Only the people and companies that need it to provide the service:
- the insurer, agency, employer or booking platform arranging the stay, where there is one;
- the owner of the property, and the cleaners and contractors who look after it, where they need arrival details;
- the companies that run our systems: Netlify for website hosting and enquiry forms, Microsoft for email and Google for document storage;
- WhatsApp, which is owned by Meta, if you choose to message us there. WhatsApp's own privacy policy applies to messages sent through it;
- our accountants and professional advisers, and the authorities where the law requires it.
Some of these companies store information outside the United Kingdom. Where they do, they rely on safeguards recognised under UK data protection law.
How long we keep it
- Enquiries that do not become a booking: 12 months, then deleted.
- Booking, payment and invoice records: 6 years after the stay ends, for tax and legal reasons.
Cookies and storage on your device
This website does not use cookies and has no tracking, so there is no cookie banner. It stores two small settings in your browser so the site works the way you left it:
- whether you chose light or dark mode;
- which of our two WhatsApp numbers the chat opens, so you reach the same person each time.
Neither one identifies you, and neither is sent to us. You can remove them at any time by clearing this site's data in your browser settings. The site works without them.
Your rights
You can ask us to give you a copy of the information we hold about you, correct it, delete it, or stop or limit how we use it. You can also object to how we use it. Asking is free, and we reply within one month.
Email service@renovestproperties.co.uk to use any of these rights. If you are unhappy with how we have handled your information, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner's Office.
Changes to this policy
If we change how we use information, we will update this page and the date at the top.
